The Details of The App

The Main Clock In & Clock Out Tab

This is the main page where users input their UNIQUE ID.

The user types in his ID in the space provided and clicks “Enter” on your keyboard.

He immediately gets response with a voice saying “Welcome James Jackson” and a welcome message; for example ‘Good morning James Jackson,you have been clocked in at 10:43:50. Have a good day.”

Also, the user’s picture is displayed simultaneously depending on the admin setting.

The Admin Page

This is the Portal where the Admin inputs the users details and pictures.

Please note that the pictures and company name are optional.

VERY IMPORTANT: THE USERS’ ID MUST BE UNIQUE.

ANYTIME YOU UPDATE THE INFORMATION ON THIS PORTAL YOU SHOULD CLICK THE “Click to Update Data” button.

Time Clock Setting Page

This is the portal where you edit the following;

1. The Clock in Message

2. The Clock Out Message

3. The Clock in/out from Break message

You may leave the default messages for the above. The words in the bracket [ ] are variable;

[Employee Name] captures the current user’s name.

[Time] captures the current time the user clocks.

[Total Hour] captures the total our between clock in and clock out.

[Total Break] captures the length of time spent for break.

Other Setting 

>>Time Clock Format: This can be changed to 12 Hour Format or 24 Hour Format

>>Use Time Clock for Break: You can choose a Yes or No. If you need to have the user clock in and out for break, you choose Yes, otherwise you choose No.

>>Show Employee Picture: Users pictures will be displayed on clocking if you choose a Yes.

>>Clock In Time For the Next Shift: Especially for organizations where Shift is observed, how many hours should pass in case a user fails to clock out, before he can clock in. The default time is 12 hours. (If you need to change this just type the number only, i.e. 15 not 15 hours.)

>>Skip Break Clock In: How many hours should elapse before Break Clock out time be skipped? That is, you put the number of hours for Break. Also note that only number is required for this section.

Report Section

This is the portal where the summary of the report is displayed.

The Overall Punctuality record is displayed graphically in order automatically. 

Filtering Report To Get Only The Content Needed

You can filter the report by typing in the spaces provided, that is you can filter by:

1. NAME: by selecting a name in the drop down in the box labelled “Enter Name”

2. DATE: by typing dates in the boxes labelled “From Date” and “To Date” respectively.

3. PUNCTUALITY: by typing either Punctual or Late in the box labelled “Punctual or Late”

4. DEPARTMENT: by typing a department in the box labelled “Enter Dept.”

5. POSITION: by typing a position in the box labelled “Enter Position”

6. GENDER: by typing a gender in the box labelled “Enter Gender”

 

NOTE: To revert to the whole data after filtering, you click the “Reset Report” button 

Also, you can click the “Print Report” button at any time to print the displayed data.

Filtering By A Name

When you filter by name it displays the person’s record from beginning to the current date unless you specify the dates.

The following details are graphically displayed:

  1. The Punctuality graph
  2. Longest Time at work
  3. Shortest Time at work
  4. The average Time at work

The Clear Report Button

When you click the “Clear Report” button, you will be prompted to click yes or No if you wish to clear the data and save in the back up file.

  • A column is a group of vertical cells, referenced in Excel by letters in ascending order from A to Z. Beyond column Z, Excel will repeat letters a second time. As such, the column directly after column Z is column AA, followed by column AB.
  • A row is a group of horizontal cells, referenced in Excel by integers in increasing order from 1 to n. The value n depends on the operating system and version of Excel.

  • Text are pieces of data that utilize letters. Numbers can also be used in Text data. However, these numbers must be used in conjunction with letters, or must manually be set to text.
  • Numbers are pieces of data that utilize numbers exclusively. Unlike text type data which can use numbers, number type data cannot use letters.
  • Currency/accounting pieces of data that utilize numbers in conjunction with a currency marker.
  • Dates are pieces of data that denote a date and/or time. There are multiple formats for dates within Excel.
  • Percentage type data are a subset of numbered data that is converted into a percentage. These can be converted back into the number-type, and vice versa. Converting to number type from percentage will show the number as a decimal. For example, 89% will convert to 0.89.

The Excel 2016 Worksheet Basics

Introduction

Excel is a spreadsheet program that allows you to store, organize, and analyze information. While you may believe Excel is only used by certain people to process complicated data, anyone can learn how to take advantage of the program’s powerful features. Whether you’re keeping a budget, organizing a training log, or creating an invoice, Excel makes it easy to work with different types of data.

Getting to know Excel 2016

If you’ve previously used Excel 2010 or Excel 2013, then Excel 2016 should feel familiar. If you are new to Excel or have more experience with older versions, you should first take some time to become familiar with the Excel interface.

The Excel 2016 interface

When you open Excel 2016 for the first time, the Excel Start Screen will appear. From here, you’ll be able to create a new workbook, choose a template, and access your recently edited workbooks.

·        From the Excel Start Screen, locate and select Blank workbook to access the Excel interface.

Working with the Excel environment

The Ribbon and Quick Access Toolbar are where you will find the commands to perform common tasks in Excel. The Backstage view gives you various options for saving, opening a file, printing, and sharing your document.

The Ribbon

Excel 2016 uses a tabbed Ribbon system instead of traditional menus. The Ribbon contains multiple tabs, each with several groups of commands. You will use these tabs to perform the most common tasks in Excel.      

Each tab will has one or more group

·     Some groups will have an arrow you can click for more options.

·         Click a tab to see more commands.
·         You can adjust how the Ribbon is displayed with the Ribbon Display Options.
Certain programs, such as Adobe Acrobat Reader, may install additional tabs to the Ribbon. These tabs are called add-ins.

To change the Ribbon Display Options

The Ribbon is designed to respond to your current task, but you can choose to minimize it if you find that it takes up too much screen space. Click the Ribbon Display Options arrow in the upper-right corner of the Ribbon to display the drop-down menu.
There are three modes in the Ribbon Display Options menu:
·         Auto-hide Ribbon: Auto-hide displays your workbook in full-screen mode and completely hides the Ribbon. To show the Ribbon, click the Expand Ribbon command at the top of screen.
·         Show Tabs: This option hides all command groups when they’re not in use, but tabs will remain visible. To show the Ribbon, simply click a tab.
·         Show Tabs and Commands: This option maximizes the Ribbon. All of the tabs and commands will be visible. This option is selected by default when you open Excel for the first time.
 

The Quick Access Toolbar

Located just above the Ribbon, the Quick Access Toolbar lets you access common commands no matter which tab is selected.
By default, it includes the Save, Undo, and Repeat commands. You can add other commands depending on your preference.
To add commands to the Quick Access Toolbar:
1.  Click the drop-down arrow to the right of the Quick Access Toolbar.
2.  Select the command you want to add from the drop-down menu. To choose from more commands, select More Commands.
3.  The command will be added to the Quick Access Toolbar.
 

How to use Tell me

The Tell me box works like a search bar to help you quickly find tools or commands you want to use.
1.  Type in your own words what you want to do.
2.  The results will give you a few relevant options. To use one, click it like you would a command on the Ribbon.

Worksheet views

Excel 2016 has a variety of viewing options that change how your workbook is displayed. These views can be useful for various tasks, especially if you’re planning to print the spreadsheet.
To change worksheet views, locate the commands in the bottom-right corner of the Excel window and select Normal view, Page Layout view, or Page Break view.

·         Normal view is the default view for all worksheets in Excel.
 
·         Page Layout view displays how your worksheets will appear when printed. You can also add headers and footers in this view.
 
·         Page Break view allows you to change the location of page breaks, which is especially helpful when printing a lot of data from Excel.
 

Backstage view

Backstage view gives you various options for saving, opening a file, printing, and sharing your workbooks.
To access Backstage view:
1.     Click the File tab on the Ribbon. Backstage view will appear.
 

Challenge!

1.  Open Excel 2016.
2.  Click Blank Workbook to open a new spreadsheet.
3.  Change the Ribbon Display Options to Show Tabs.
4.  Using the Customize Quick Access Toolbar, click to add New, Quick Print, and Spelling.
5.  In the Tell me bar, type the word Color. Hover over Fill Color and choose a yellow. This will fill a cell with the color yellow.
6.  Change the worksheet view to the Page Layout option.
7.  When you’re finished, your screen should look like this:

9.  Close Excel and Don’t Save changes.

Number bonds show how numbers are split or combined. An essential strategy of Singapore maths, number bonds reflect the ‘part-part-whole’ relationship of numbers.

WHAT IS A NUMBER BOND?

Number bonds let students split numbers in useful ways. They show how numbers join together, and how they break down into component parts. When used in year 1, number bonds forge the number sense needed for early primary students to move to addition and subtraction. As students progress, number bonds become an essential mental problem solving strategy.

HOW DO NUMBER BONDS WORK?
Number bonds are represented by circles connected by lines. The ‘whole’ is written in the first circle, while the ‘parts’ are in the adjoining circles.

 HOW TO TEACH NUMBER BONDS?
Children are usually introduced to number bonds through the concrete, pictorial, and abstract approach. Here’s just one way to introduce and teach number bonds.


1. THE CONCRETE STEP
Children start out by counting familiar real-world objects that they can interact with. They then use counters to represent the real-world objects. From here, they progress to grouping counters into two groups.
By putting five counters into two groups, children learn the different ways that five can be made. For example, 3 and 2 as illustrated below. With further exploration, children work out other ways to break numbers into two groups.


2. THE PICTORIAL STEP

Now that they understand the concept with hands-on objects and experience, children progress to writing number bonds in workbooks or on whiteboards. Early number bond explorations might simply reflect the two groups of counters that they created during the concrete step, along with other combinations.

3. THE ABSTRACT STEP
With the concrete and pictorial steps done and dusted, children progress to representing abstract problems using mathematical notation (for example, 3 + 2 = 5).

TAKING THE CONCEPT A STEP FURTHER

Number bonds also develop problem solving strategies such as ‘making ten’ with ten frames, multilink or unifix cubes.

By mastering number bonds early on, pupils build the foundations needed for subsequent learning and are better equipped to develop mental strategies and mathematical fluency. By building a strong number sense, pupils can decide what action to take when trying to solve problems in their head.

This example shows how a pupil would develop their number sense, or mathematical fluency, by using number bonds to perform a mental calculation.

Ten is the most important number in our decimal (base ten) number system, so it is vital that our children learn to recognize it in any disguise. When the student knows the bonds for ten automatically, we move on to 20, then 100, then any number we desire.

Don’t “Drill.” Play Games!

Here are a few number bond games to enjoy with your children:

  • Throw two dice and tell how many more you would need to make 10. (On the rare throws of 11 or 12, the answer is a negative number.)
  • Throw 3 dice and tell how many more it takes to make 20.
  • One player names any number 0-100, and the other tells how many more it takes to make 100.
  • You could also play the last game with math cards[take out the jokers and face cards, leaving just ace (1) through 10], turning up one for the tens place and one for the ones, to make a two digit number.
  • 10’s Concentration — Turn all the math cards face down on the table. On her turn, each player turns up two cards. If they add up to 10, she gets to keep them and try again. If one of the cards is a 10, she gets to keep it and turn up another card. Whoever takes the most cards, wins.

The Details of The App

The INFO PAGE

This is the information page where the following information are inputted:

  • The School Details
  • The Name of the Classes– Do not put SPACE or any other special characters (/ – : ; ‘()!@#$%^&*) in the Classes column.
  • The terms
  • The Present Session
  • The Name, position and signature of the head of School or Account officer: To change the signature, Right-Click on it and Click Change Picture, then select your own signature from your system.

Note: It should be an image, i.e. jpeg of png.

The next column is the Students’ details column.

Based on the name of the classes inputted the classes column, a database template is created for each class. Where you type the name, email and discount (if any) for each student. In the discount column, only the number is typed while the number is automatically formatted as percentage. That is, just type 15 instead of 15%.

School Fees Details Page

On this page, you select the currency from the drop-down.

In the detail column, you list the details of your school fees.

The next thing is to write the amount of each detail of the school fees for each class term by term.

Term Bill Page

This is the page that displays the termly school fees for each student in the school according to their class and term.

To change the logo, Right-Click on it and Click Change Picture, then select your own logo from your system.

The procedure for displaying the school fees of a student is as follows:

  • Click the TERM box, select the term from dropdown
  • Click the CLASS box, select the class from dropdown
  • Click the NAME box, select the name of the student

Then, you’ll have his School fees details displayed.

Don’t forget to include the school’s Bank details and school fees due date.

Session Bill Page

This is the page that displays the total session school fees for each student in the school according to his class.

The procedure for displaying the school fees of a student is as follows:

  • Click the CLASS box, select the class from dropdown
  • Click the NAME box, select the name of the student

Then, you’ll have his School fees details displayed.

Don’t forget to include the school’s Bank details and school fees due date.

Note: The weight of the Tests must sum up to 100%

Also, anytime you make changes to the Subjects, remember to click the RED TAB above the subjects to effect the changes, otherwise your changes will not count.

Subject Score Entry Page

After entering your data correctly on the Data Entry Page and clicking the RED TAB on the subject column, the subject pages are ready to use with your data installed adequately.

What to do on the subject pages?

First, Type in the total mark of each test above it in the space provided.

Then, click the “Click For 1st Term Score Entry” tab.

 In the Data Entry Form Input scores for each pupil accordingly.

First, Select the student’s name from the drop-down arrow;

Then, click the RETRIEVE BUTTON,

Next, type in the test scores and the teacher’s comment,

Then, click UPDATE, then OK.

Repeat the process for other students, when you’re done click VIEW SHEET.

The scores appear on the page and all calculation is done automatically.

You can scroll down to check other analysis and graph.

Follow the same process to change an existing score.

Please, take note of the term you’re working on.

NOTE: 

This App is class based. It can accommodate 50 children per class. It can be duplicated for other classes in the school (Copy and paste).

Affective & Psychomotor Skills Entry

Type the required number for each student under each attribute.

Overall Record

Attendance Page

The attendance section is also well documented and analyzed. At the beginning of every term, the Attendance Start date and End date are set. Then, the App adjusts to the dates set for the term. Pupils are marked accordingly.

L – Late

H – Holiday

As the teacher marks, the daily and termly analysis is done automatically. This will reflect on the pupils’ result page.

This is a detailed analysis of the pupils’ performance.

It Shows the following:

Printing and Email Section

To Print the Current Page, Click “Print Current Result in PDF”. This will convert the current School Fees details to PDF, then you can send to printer.

To Print all the School Fees of the Students in the Current Class on the Page, Click “Print ALL Results in PDF”. This converts all the fees of the students in the class to PDF, then you can send them to printer.

Sending Email

The Email Template: This shows the information that will go with the attached School fees you are sending for each child.

The variables in the two #, i.e. “# #” will be replaced by the actual names in the Email.

For example

#StdName# represents the Student’s name. If the Student’s name is Anna, #StdName# will be replaced with Anna in the Email.

Be careful when editing the Email Template. Do not change the texts of the variables. You can change other things if you need to.

Sending Mails

You can send the email with

  • Outlook
  • Gmail or
  • Yahoo

FOR OUTLOOK: If you have Microsoft outlook installed on your system;

Click “Send Current Result With Outlook” to send the current fee displayed to the parent’s email as computed on the info page. This opens Outlook with the customized message and the student’s school fees attached. You the click send.

Click “Send ALL Results With Outlook” to send all the school fees of students of the current class displayed at once.

This opens Outlook with the customized message and the students school fees attached. You then click send for each student.

FOR GMAIL AND YAHOO

First, click “CLICK TO SET USERNAME AND PASSWORD FOR GMAIL & YAHOO” tab to set mail address you are sending the message from. Note that this must be a valid Email and Password!

Click “SEND CURRENT RESULT WITH GMAIL” to send the current fees displayed via GMAIL.

Click “SEND ALL RESULTS WITH GMAIL” to send to all the students in the current class displayed at once via GMAIL.

Click “SEND CURRENT RESULT WITH YAHOO” to send the current fees displayed via YAHOO.

This App is designed to test pupils on 7 major Learning Areas (Graded)and Next Step Expectation (Not Graded).

Fill in the students’ data; just click in the date of birth column to insert date from the pop up calendar.

It is believed that at this stage of learning, detailed explanation of pupils’ performance is needed.

So, detailed comment on each Learning Area is inputted for each pupil and a grade A, B or C is entered for each Learning Area.

For example:

A – Excellent; compared to others in the class

B – Very Good; at per with others in class

C – Making progress

NOTE: YOU CAN EDIT TO YOUR PREFERENCE ON THE DATA ENTRY PAGE

Also, at the end of each term the Class Teacher and the Head of School write their comments for each child in the class.

NOTE: 

This App is class based. It can accommodate 50 children per class. It can be duplicated for other classes in the school (Copy and paste).

Attendance Page

 

The attendance section is also well documented and analyzed. At the beginning of every term, the Attendance Start date and End date are set. Then, the App adjusts to the dates set for the term. Pupils are marked accordingly.

P – Present

A – Absent

L – Late

H – Holiday

As the teacher marks, the daily and termly analysis is done automatically. This will reflect on the pupils’ result page.

The Report Page

This is a detailed analysis of the pupils’ performance.

It Shows the following:

School’s details

  • Comment in each Learning Area
  • Grade in each Learning Area
  • Overall Grade
  • Attendance record and percentage
  • Class teacher’s Comment

Printing and Email Section

To Print the Current Page, Click “Print Current Result in PDF”. This will convert the current School Fees details to PDF, then you can send to printer.

To Print all the School Fees of the Students in the Current Class on the Page, Click “Print ALL Results in PDF”. This converts all the fees of the students in the class to PDF, then you can send them to printer.

Sending Email

The Email Template: This shows the information that will go with the attached School fees you are sending for each child.

The variables in the two #, i.e. “# #” will be replaced by the actual names in the Email.

For example

#StdName# represents the Student’s name. If the Student’s name is Anna, #StdName# will be replaced with Anna in the Email.

Be careful when editing the Email Template. Do not change the texts of the variables. You can change other things if you need to.

Sending Mails

You can send the email with

FOR OUTLOOK: If you have Microsoft outlook installed on your system;

Click “Send Current Result With Outlook” to send the current fee displayed to the parent’s email as computed on the info page. This opens Outlook with the customized message and the student’s school fees attached. You the click send.

Click “Send ALL Results With Outlook” to send all the school fees of students of the current class displayed at once.

This opens Outlook with the customized message and the students school fees attached. You then click send for each student.

FOR GMAIL AND YAHOO

First, click “CLICK TO SET USERNAME AND PASSWORD FOR GMAIL & YAHOO” tab to set mail address you are sending the message from. Note that this must be a valid Email and Password!

Click “SEND CURRENT RESULT WITH GMAIL” to send the current fees displayed via GMAIL.

  • It can be used for the whole school. It can accommodate over 3,500 students at once.
  • You can send mails via outlook, gmail or yahoo.
  • You can print or send termly fees or session fees.
  • You can use up to 5 different currencies.

The Details of The App

The INFO PAGE

This is the information page where the following information are inputted:

  • The School Details
  • The Name of the Classes– Do not put SPACE or any other special characters (/ – : ; ‘()!@#$%^&*) in the Classes column.
  • The terms
  • The Present Session
  • The Name, position and signature of the head of School or Account officer: To change the signature, Right-Click on it and Click Change Picture, then select your own signature from your system.

Note: It should be an image, i.e. jpeg of png.

The next column is the Students’ details column.

Based on the name of the classes inputted the classes column, a database template is created for each class. Where you type the name, email and discount (if any) for each student. In the discount column, only the number is typed while the number is automatically formatted as percentage. That is, just type 15 instead of 15%.

School Fees Details Page

On this page, you select the currency from the drop-down.

In the detail column, you list the details of your school fees.

The next thing is to write the amount of each detail of the school fees for each class term by term.

Term Bill Page

This is the page that displays the termly school fees for each student in the school according to their class and term.

To change the logo, Right-Click on it and Click Change Picture, then select your own logo from your system.

The procedure for displaying the school fees of a student is as follows:

  • Click the TERM box, select the term from dropdown
  • Click the CLASS box, select the class from dropdown
  • Click the NAME box, select the name of the student

Then, you’ll have his School fees details displayed.

Don’t forget to include the school’s Bank details and school fees due date.

Session Bill Page

This is the page that displays the total session school fees for each student in the school according to his class.

The procedure for displaying the school fees of a student is as follows:

  • Click the CLASS box, select the class from dropdown
  • Click the NAME box, select the name of the student

Then, you’ll have his School fees details displayed.

Don’t forget to include the school’s Bank details and school fees due date.

Weekly Schedule and Year Planner

This is a two file Excel application.

The Weekly Schedule helps you itemise your activities for different times each day of the week.

The Year Planner can be used forever. All you need to do is to type in the year and the application adjusts to the months and days of that year. So, you can put in events for each day of the year.
